Position Summary
The Sr. Operations Specialist will be responsible for helping Karius to scale and mature critical processes in, shipping and receiving and materials management, office maintenance and administration, and business continuity and disaster preparedness. This person will partner closely with the lab, procurement, accounting, and quality management.  A strong candidate for the role is familiar with a laboratory facility who thrives on creating order and helping improve systems and processes for scale.

Reports to:  Program and Operations Manager
 
Location:  Redwood City, CA
 
Primary Responsibilities
•  Primary contact for receipt of deliveries, ensuring quality of packages and routing packages to recipients. 
•  Provide strategic recommendations and lead implementation for optimizing efficiency, accuracy, and safety/compliance of S&R and materials management. 
•  Process goods received into the Karius accounting system.
•  Maintain stocked packing station, pack items for outbound shipment and arrange shipment of packages (via regular courier, freight, hazmat, international).
•  Partner with procurement, quality control and other teams to periodically audit and help design process improvements.
•  Keep storage and inventory areas clean, organized and presentable.
•  Assist with site design improvements and coordination of additional construction / equipment installation, as needed. 
•  Coordinate installations and removals of large/bulky lab or office equipment.
•  Respond to office alarms, as necessary. Ability to remain on call after hours. 
•  Execute emergency generator checks and supervise maintenance schedule and repairs. 
•  Assist with facilities business continuity and value stream risk mitigation projects as necessary. 
•  Manage vendor pickups of hazardous and biological waste (training provided).
•  Manage external vendors to perform minor repairs and other services.
•  Help provide strategic recommendations and assist with maturing operational documentation and other standard operating procedures as needed. 
•  Interface with the landlord’s maintenance staff.
•  Track, manage and complete minor repairs independently.
•  Assist with budget forecasting and purchase order management, as needed. Pro-actively identify and communicate opportunities for cost savings and improved vendor performance. 
•  Coordinate moving desks, chairs, and tables as office furniture needs change.
•  Maintain kitchen and office supplies, order and assist with lunch set up.
•  Be the eyes and ears of the facility and escalate issues as needed.
•  Assist with facilities related security and administration.
•  Help provide facilities orientation and onboarding to new hires.
•  Greet and host guests, as needed.
•  Work on special projects, as assigned.

Physical Requirements
Subject to extended periods of sitting and/or standing, vision to monitor and moderate noise levels. Work is generally performed in an office, lab or clinical environment. The ability to lift and/or move up to 50 lbs. Comfort working with basic hand tools, and ability to perform simple building repairs.
 
Position Requirements
•  Minimum High School diploma, AA/BA preferred.
•  Minimum 5 years’ experience in operations / facilities.
•  Previous experience with a lab facility / laboratory materials management strongly preferred.
•  Experience coordinating external vendors and suppliers (custodial, security, consumables, furniture).
•  Experience with DOT/Hazmat shipping is an asset.
•  Experience preparing shipping documentation.
•  Ability to remain on call during off-hours to triage and address after-hours office emergencies as needed.

•  Ability to respond quickly to a shifting reality and adjust initiatives and priorities accordingly
•  Organizational skills and the flexibility to jump from priority to priority, which is essential to a role that juggles a variety of functions and projects
•  Strong commitment to quality and compliance; experience with anticipating and comfortable with intercepting issues that may arise. 
•  Experience managing risk and triaging issues in order of relative urgency and importance.

•  Detail oriented with exceptional organizational and time management skills.
