Position Summary
Karius is seeking an Executive Assistant to partner with the CEO to effectively manage and organize schedules, ever-changing priorities while leveraging good judgment and discretion. The ideal candidate will work closely with the CEO, leadership team and external partners, including customers, partners, vendors, collaborators, investors, and board members to achieve key business outcomes. You will effectively manage the CEO's calendar, travel schedule, and internal and external communication related to meetings, conference calls, invitations, event planning, board meetings, and interviews.

Location:  Redwood City, CA 

Primary Responsibilities
•  Develop trusted relationships, maintain confidentiality and integrity within the organization. Proactively and strategically manage calendar priorities based on fiscal calendar cycles, projects and team needs.
•  Lead the planning and ensure the execution of internal and external meetings including company all hands, offsites and meetings with a wide variety of stakeholders.
•  Book appropriate domestic and international travel arrangements, consideration for necessary arrangements such as Visas, health requirements, cost, documentation and ensuring a positive and productive trip.
•  Coordinate events and meetings, support food orders, luncheon planning, and planning of other business related meetings as requested.
•  Manage and report CEO’s billing and expenses, purchase orders and invoices.
•  Assist with presentations and other administrative and project related duties, as required.
•  Promote our corporate image by professionally representing Karius internally & externally.
•  Support the CEO in additional projects, as assigned.

Physical Requirements
Subject to extended periods of sitting and/or standing, vision to monitor and moderate noise levels. Work is generally performed in an office, lab or clinical environment. 

Position Requirements
•  Bachelor's Degree, strongly preferred.5+ years of applicable executive C-level administrative experience in a Life Sciences/Pharmaceutical/Diagnostics company.
•  Private company experience, preferred. Strong technical competency, specifically with virtual meeting tools (like Zoom), Google Suite, Microsoft Suite, Calendars, Distribution Lists, SAP Concur, Docusign, etc. 
•  High level of commitment and availability to be reached after hours and on weekends, as needed.
•  Exercises considerable judgment and discretion in handling requests for appointments and ensures all parties are informed of and kept abreast of schedules and schedule changes and conflicts.
•  Experience working in a dynamic, challenging and fast-paced start-up environment.
•  Exceptionally organized with attention to detail and the ability to shift focus and priorities when necessary, under pressure and within deadlines.
